Also known as the 80/20 rule or the rule of the vital few, Vilfredo Pareto discovered the Pareto in the early 1900s. He observed that 80% of the wealth in Italy was owned by only 20% of the population, and this proportion applied to many other areas too. Regarding time management, 20% of our daily tasks account for 80% of our results. Therefore, when you have a list of tasks, identify the two items that will accomplish 80% of your results for the day. These are your main tasks; finishing them will give you a sense of satisfaction at the end of the day.

One common mistake people make when they feel unsatisfied and unproductive is to work reactively, only responding to urgent and last-minute requests, emails, and other small tasks as they arise. To avoid falling into this trap, planning and prioritizing what is truly important for you to accomplish each day is essential. Using the Pareto Rule to filter out urgent but less critical requests, you can determine what is truly worth your time and what isn’t. Don’t be afraid to say no when necessary, and focus on getting done what really matters to you.

How to implement the Pareto Rule
Identifying the Vital Few
Begin by analyzing your tasks and responsibilities. If you have 8 to 10 hours of work daily, you realistically distribute your time in meetings, having lunch, stretching or exercising, doing admin work or 2-minute tasks, and focus work. Identify the 20% of activities that contribute the most to your success or yield the greatest results. These are your “vital few.” Whether it’s clients that generate most of your revenue, specific projects that significantly impact your career or key relationships that open doors, focusing on these priorities can exponentially increase your effectiveness.
Streamline Workflows
Once you’ve identified the vital few, streamline your workflows, eliminate non-essential tasks that may be consuming valuable time and determine the best time of day to spend at least two hours nonstop on these vital few. Concentrating on critical tasks can maximize your impact and achieve more significant outcomes.
Time Block for Efficiency
Consider implementing time blocking or timeboxing to ensure dedicated focus on your most important tasks. Schedule specific blocks of time for these vital tasks and protect these periods against interruptions. Creating dedicated time slots can minimize distractions and optimize your concentration, increasing efficiency. So you may be in meetings all day, but if at least 2 hours were dedicated to the most critical tasks, you are done! You can use your calendar or get help from timeboxing apps like Sunsama.
